RECOMMENDATION

Approve the use of the current Products Agreement with Nearmap for a four-year renewal of aerial imagery services and associated products;


Approve the contract amount not-to-exceed $114,450; and


Authorize the City Manager to execute the Agreement with Nearmap.

DISCUSSION

In January 2024, the City entered into an agreement with Nearmap, a 100% cloud-based solution for aerial imagery services. Previously, from 2014 to 2023, the City contracted with Eagle Aerial/Pictometry for annual flyovers to capture imagery, along with a subscription to their web-hosted custom imagery library.

 

Nearmap provides two (2) flyovers per year, stores all the imagery online, and integrates into the City’s GIS software at a significant savings compared to other products. Nearmap imagery is used on internal GIS web-maps, which are utilized by nearly every department in the City, including Development Services, Economic Development, and Municipal Services.

 

Staff have been satisfied with the aerial imagery and service provided by Nearmap since 2024 and recommend renewing the agreement. The renewal requires City Council approval because the cumulative contract amount will exceed the City Manager's procurement authority.

 

FISCAL IMPACT

The fiscal impact for the four (4) year contract renewal is $114,450. The service is budgeted annually at $28,612.50 and funding is available in the FY 2025/26 Operating Budget in the Information Technology Fund budget account 7268340-60480. Subsequent years of the contract will be budgeted in the upcoming biennial budget.
